Agency routing

Request missing oil tank records from the right agency

A useful request names existing documents, the exact property, and the responsible custodian. A submission receipt is only the start of the record trail.

Before you search

Start with the right identifiers.

Property and parcel identifiers, record categories, date range, known permit/case number, prior request number, and any agency referral.

Bring what you have. Missing identifiers can be part of the route review.

Choose the holder, not just the state

Municipal construction records and state environmental records may have different custodians. NJ's OPRA guidance asks requesters to direct requests to the appropriate holder. Our route plan names one agency and record category per request, avoiding an unbounded request for everything about the property.

Use the channel's actual requirements

Forms differ. Suffolk Health Department's application requests a full tax-map number and one property per request; current county instructions should be checked before submission. Assemble identifiers first, and confirm fees or physical submission requirements rather than assuming email is sufficient.

Track acknowledgment, referral, and delivery separately

Our case ledger preserves the request ID, channel, date, reply, next action, and check date. Summit's portal explicitly supports request status and communications. An automated receipt is not the requested document; a referral needs a new route decision, not a completed-case label.

Make the request specific

A ready-to-adapt outline.

Please provide [specific existing record categories] for [address; parcel], [date range], reference [number]. If another custodian holds these records, please identify that office. Please advise of any applicable fee before chargeable work proceeds.

Replace the bracketed fields and follow the agency’s current form, disclosure, and fee instructions. This is a draft, not a sent request.

Keep the limits visible.

Templates are research aids, not legal advice. Follow the agency's current form, purpose disclosures, exemptions, and fee instructions. No external message or paid request is sent just because a draft exists.
